What information we collect

Depending on how you interact with us, we may collect:

• Enquiry details — your name, email address, phone number and message when you use our contact, landlord or viewing enquiry forms.
• Property details — postcodes and property information you provide when requesting a landlord quote.
• Technical data — IP address and browser information, recorded for security and spam-prevention purposes.
• Tenancy and client records — if you become a landlord or tenant, we collect the information required for referencing, Right to Rent checks, tenancy agreements and compliance — as set out in your service agreement.

How we use your information

We use personal data to:

• respond to enquiries and arrange viewings;
• provide landlord, letting and property management services you have requested;
• carry out referencing and Right to Rent checks where legally required;
• meet our legal and regulatory obligations (e.g. Client Money Protection and anti-money-laundering checks);
• protect our website against spam and abuse;
• with your consent, send you marketing communications you have asked for.

How long we keep data

Enquiry form submissions are retained for 24 months from the date of your last interaction with us, after which they are deleted or anonymised. Client and tenancy records are retained for the period required by law (typically six years after the end of a tenancy, in line with limitation periods), or longer where a legal obligation requires it.

Sharing your information

We never sell your data. We share it only with the parties needed to deliver our services — for example referencing agencies, tenancy deposit schemes, contractors, and portal providers such as Rightmove and Zoopla — or where the law requires or permits it.

Your rights

Under UK GDPR you have the right to access, rectify, erase, restrict and port your personal data, and to object to certain processing. To exercise any of these rights, email us at hello@betaplanner.co.uk. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).

Security

Enquiry data is stored in a secured database with access restricted to authorised staff. Administrative access requires authentication and is logged. Payment and tenancy deposit funds are held in accordance with our client money protection arrangements.
